Responsibilities

Program Overview

 

New Allies was developed by Youth Villages as a capacity-building and support initiative to help child welfare leaders navigate long-term system reform and break the cycle of crisis-driven management. New Allies is designed to provide public child welfare agencies with the in-depth assessment, planning, and implementation support they need to build system capacity and drive better outcomes for children and families. Youth Villages seeks candidates for an Executive Assistant to the Director as we embark on this exciting and unique initiative.

 

Position Overview

Responsible for providing administrative and logistic support for the entire team. Must exercise strong communication skills in order to represent New Allies professionally to internal and external stakeholders.  Will be responsible for keeping thorough meeting notes and tracking completion of critical tasks.

 

Essential Duties and Responsibilities:

  • Lead, coordinate and execute logistics and travel arrangements for internal and external meetings.
  • Draft communication on behalf of the Director to funders, clients, and executive level professionals.
  • Work with contractors and experts, internal stakeholders, and jurisdictions to schedule critical on-site and remote assessment and implementation activities.
  • Strong communication skills required, ability to communicate and collaborate effectively across all levels of the organization.
  • Manage multiple, complex schedules in order to facilitate meetings with internal and external participants.
  • Take detailed meeting minutes and ensure action steps are completed timely.
  • Facilitate clear communication with stakeholders about traveling and meeting plans.
  • Act independently and be resourceful in approach to problem solving.
  • Effectively manage all parties while establishing collaborative relationships.
  • Organize information as requested from strategy and implementation team. 
  • Other duties may be assigned.

Salary

 

$40000 - $50000 / year based on education and experience

 

Qualifications

Requirements

  • A Bachelor's degree from an accredited four-year college or university is required. 
  • Project Management skills and experience required
  • Experience as an administrative/executive assistant is required
  • Strong critical thinking and conceptualization skills
  • Strong customer service skills
  • Strong organizational and time management skills - ability to manage shifting priorities on daily or weekly basis
  • Highly motivated, able to be a team player and work independently
  • Experienced problem solver
  • Demonstrated efficiency in Microsoft office products
